Executive Assistant to Group CEO

The Executive Assistant to the Group CEO provides high-level administrative and operational support to the Group CEO. This role serves as a trusted partner, managing priorities, coordinating executive communications, facilitating cross-functional initiatives, and maintaining confidentiality in handling highly sensitive business matters.
The Executive Assistant serves as a central liaison among the Group CEO, Board of Directors, senior leadership, external stakeholders, and regional offices, ensuring the seamless execution of executive priorities and organisational objectives.
Job Description
Executive Support
Manage the Group CEO’s complex calendar, appointments, travel schedules, and business priorities.
Coordinate internal and external meetings, ensuring agendas, presentation materials, and briefing documents are prepared in advance.
Prioritise and manage incoming correspondence, emails, and requests, ensuring timely responses and follow-up.
Track action items arising from meetings and ensure timely completion by relevant stakeholders.
Handle confidential information with the highest level of discretion and professionalism.
Stakeholder Management
Serve as the primary point of contact between the Group CEO and internal/external stakeholders.
Build strong working relationships with Board members, senior executives, business partners, and key customers.
Coordinate executive visits, leadership meetings, and corporate events.
Represent the Executive Office professionally while maintaining exceptional service standards.
Meeting Management
Prepare meeting agendas, minutes, resolutions, and follow-up action trackers.
Coordinate logistics, including venues, travel arrangements, accommodation, and hospitality.
Ensure timely circulation of meeting materials and documentation.
Administrative
Coordinate travel arrangements, including visas, itineraries, accommodations, and transportation.
Coordinate the EtonHouse student overseas trip with EtonHouse China HQ.
Qualifications:
At least posses Bachelor Degree in any related fields.
Minimum 8–10 years of experience supporting C-suite executives, preferably a CEO or Group CEO.
Experience in multinational corporations or regional organizations.
Experience working with Board members and senior executives.
Meticulous and strong organizational skills.
Mature, independent and results-oriented.
Strong communication and interpersonal skills.
Versatile and able to work with ambiguity.
Able to work in a fast-paced environment and handle high levels of pressure.
Professional Executive Assistant certification is an advantage.
